COVID-19 Procedures

We should proceed with changing the dates of RE with the schools and NGO

Remember to sign the aneks bit.ly/Aneks to the agreement with the new date ;)

We recommend you to move the projects to Winter Editions (December, January) or May 2021.

Talk to the OGX site don’t communicate directly to the EP that the project is being moved.

If the date is not suitable for the EP they can break their APD

Make sure that whatever option your people will choose they will sign a letter (you can find it in the form) and submit the form to us- otherwise the option is not valid.

After reaching an agreement with the EP and signing the letter we can move to breaking the current status on the platform.

What does it mean for us?

Talk to the OGX site don’t communicate directly to the EP that the project is being cancelled. If you have offer a different opportunity EPs could apply to.

As you can see we can’t cancel an opportunity to the EP that’s why all the breaks must provide from the OGX side. Make sure to negotiate with the OGX side to reach an agreement ;)

As for the projects with RE before the 1st of June, we need to ensure all the things are moved since it’s the recommendations of AI. But as before we need to do it though OGX site, for me to help you with that please fill in this form: bit.ly/ICXBreakbefore1June and I will try to ask oGX side to request the breaks :)

What does it mean for us?

In the current moment as you saw in XPP we can’t cancel any projects because for RE in June and July currently we don’t have any recommendations from the government or AI and it can mean liabilities for us to cancel any projects.

We understand that there might be stakeholders that are afraid about the situation. At the same time I think that for now we should ask them to observe the situation with us and still wait a bit before making any decisions. There is still time until the projects are supposed to happen and unless there will be clear government requirement we can’t proceed with any cancelations because it might make us liable to the EPs

OGX (OGV, OGT,OGE)
Why the difference of reimbursement? Mostly due to the fact that As AIESEC we are providing the opportunity for the EP to go on exchange and it’s an individual choice. As we understand the why behind we can offer the refund, at the same time as organization we have to take care of our sustainability and we don’t have enough resources to refund all of our customers, as we are providing the service.
What does it mean for us?
1. Before breaking the approval, talk to the hosting entity and find out: can the realization date be postponed?
1.1 If not, is there another similar opportunity in the LC that can be postponed?
1.1.2 If not, is there any similar opportunity in the entity but in another LC that can be postponed?
1.1.3 If not, is there another entity that has a similar opportunity?
1.1.4 If not, what are the other opportunities HE have available with a postponed RE date?
In this cases EP has to fill in the form bit.ly/Letterbefore1June and you need to break the other approval by filling in this: bit.ly/OGXBreaksbefore1June
1.1.5 If the EP is unable to make a decision now about moving the RE date we can propose to the a Voucher that will enable them to go for another projects until the RE September 2021 without any additional payment. EP has to sign an agreement: bit.ly/Letterbefore1June
1.1.6. If not, we can agree for a 100% reimbursement due to the fact that projects are being cancelled as AIESEC. EP has to sign an agreement: bit.ly/Letterbefore1June

After the 1 of June

Before breaking the approval propose the same options as above, the only difference is:

1.1.6. If not, we can agree for a 30% reimbursement as it’s a choice of the EP and we as organization are providing all of the needed services. EP has to sign an agreement: bit.ly/LetterECB
